How to manage your leads
A 13-step walk-through of the My Leads workflow · from finding allocated leads, capturing pre-call research and dictating outcomes by voice, to using both teleprompters live, scheduling follow-ups in two clicks, tagging leads with source data, and progressing through the 13-stage pipeline.
Open My Leads from your profile menu
The starting point for every call session.
Click your avatar in the top-right of any page. The dropdown shows My Leads between your dashboards and the divider above Sign out.

If you don't see My Leads in your dropdown, ask an admin to set your role to SALES on /admin/users.
Filter, search and paginate your queue
Cut a 200-lead list down to the 10 you want to work right now.
Use the status pills at the top to filter by lifecycle stage (NEW · CONTACTED · BOOKED · QUALIFIED · etc), the category dropdown to filter by Visitor or Exhibitor, and the search box for free-text matches across name, email, company, and job title. The pager toolbar lets you pick 25 / 50 / 100 / All rows per page.

Selection persists across pages · admins can tick rows on page 1, jump to page 2, tick more, and the bulk-allocate bar at the bottom totals everything selected.
Open a lead's detail page
Click View · Edit on the right of the row.
Each row has a primary cyan View · Edit → pill on the far right. Click it to open the full detail page where you do everything else.

📜 + 🌉 The two teleprompters
Two fully-personalised scripts · pick the right one for the call you're about to make.
Scroll down to the Call History fieldset. Two big buttons sit in its top-right corner · 🌉 View Discovery Call Script (purple, BRIDGE 25-step framework, used for the deep discovery conversation) and 📜 View Call Script (green, post-event follow-up flow, used to book a discovery meeting in 3–5 minutes).
The Discovery Call Script is a full consultative framework · 25 numbered steps covering agenda-setting, ICP, current vs aspired position, capacity audit, emotional pain, decision- making process, time + money pre-frames, positioning and booking the follow-up. There's a separate help guide for it at /help/discovery-call.
Below is what the post-event follow-up script (the green button) looks like inline:

Log up to five conversations · date and a one-or-two- line outcome each · helps the next rep pick up where the last one left off.

Click 📜 and a full-screen teleprompter opens · 16 numbered steps from warm intro to professional close · each step has a Copy button · text-size selector (A / A+ / A++ / A+++) for arm's-length reading. Both [Name] and [Your Name] tokens auto-personalise to the lead and the logged-in user.

The script is a framework, not a rigid read. Pick 2–3 questions per section that fit the conversation. The only firm goal is “book the next discovery call”.

One-click dial · routes via X-bees if configured, falls back to your device's dialler.
In the Contact Details fieldset, the green 📞 Call Now button sits flush against the right edge of the Phone field. The button also lives in the page header just below the lead name, and the phone number on every list row is clickable.

Clicking Call Now auto-stamps the next empty Call History slotwith today's date and a placeholder “Call initiated…” outcome · so even if you forget to log the conversation, the attempt is captured.
Log outcomes · type or dictate by voice
One or two lines per call · what happened, what's next. Type it, or hit the mic and dictate it hands-free.
After (or during) the call, scroll to the matching call slot in Call History and type the outcome. There are 5 slots · First through Fifth. The “+ Stamp today on next empty slot” button below the rows pre-fills today's date so you can jump straight to typing.
Voice-to-text outcome capture. Under every Outcome textarea sits a 🎙️ Voice note button · click it, speak your call notes, and watch the words land in the field live. Pulsing red dot, animated waveform, elapsed timer, Pause / Resume / Stop. Works on Chrome, Edge and Safari iOS 17+ via on-device speech-to-text · Firefox + older Safari fall back to server-side Whisper transcription when configured.
Clean up.When you stop recording, an ✨ Clean up button appears. One click capitalises sentences, restores standalone “I” and adds terminal full-stops to anything you dictated. Saves the final tidying-up pass.

Right above the audio + transcript area on every call slot, there's a 📅 Schedule Appointment button · pre-fills the booking form with this slot's outcome and date so you can lock in the next conversation in two clicks. Record their top 4 priorities + any free-text remarks.
Above Call History sits the amber Wait-list preferences · sales call fieldset. Four ranked dropdowns let you pick the lead's top picks among Trusted Supplier, Exhibitor, Speakers, VIP Visitor, 40 Free Leads, Not Interested, None, or Other. Add any other context in the Additional remarks textarea below.

Update status and save
Status moves the lead through the pipeline · save commits everything.
There are two placesyou can change a lead's status · pick whichever is faster for what you're doing right now.
Option A · From the Pipeline fieldset on the lead's detail page
Open any lead with the View · Edit → pill, scroll past Wait-list preferences and the Call History section · the cyan-bordered PIPELINE fieldset is where the status dropdown lives. Pick the new status, optionally tick “Exclude from outreach”, add Internal notes for anything broader than a single call, then click the primary cyan ✓ Save changes button at the bottom of the page.

On the My Leads list, every row has a status dropdown directly underneath the colour-coded status pill. Picking a new status from this dropdown saves instantly · no save button needed · perfect for blasting through a batch of New → Calls → Conversations moves in seconds.

The 13-stage pipeline at a glance
Status colours are consistent everywhere — list pills, inline dropdowns, status counter pills at the top of the page, and the status badge inside the detail-page Pipeline fieldset. Memorise the rainbow once and you can read everyone's pipeline at a glance.

Bulk tip:the inline dropdown on the list is the fastest way to reclassify many leads at once · just tab between rows and pick the new status. Each save fires independently so you don't lose anything if you navigate away mid-batch.
🔬 My Research Outcome · pre-call prospect briefing
Capture everything you found out about the prospect before you dial · 7 facets, voice-to-text on each.
Between Contact Details and Wait-list Preferences sits the purple My Research Outcome · pre-call prospect briefing fieldset. Click to expand · seven separate text areas let you build a complete pre-call brief without leaving the page. Each field has its own 🎙️ voice-note recorder so you can dictate findings hands-free while reading their LinkedIn or website in another tab.

The seven research facets · all collapsed by default until any one has content
Anything you capture here feeds straight into the discovery call summary at step 15 of the Discovery Call Script and into the proposal at step 22. Reps who walk into a call with all 7 facets filled in close at substantially higher rates than reps who don't.
LinkedIn shortcuts.The Contact Details fieldset now has two LinkedIn fields too · one for the prospect's personal profile, one for the company page. When the URL looks valid, an ↗ Openbutton appears beside the field so you can jump to LinkedIn in a new tab without copy- paste while you're researching.
📅 Schedule appointments · Calendly-style + My Calendar
Book the next conversation while the prospect is still on the call. Two clicks: pick a date, pick a slot.
Two places trigger the same booking modal · the 📅 Schedule Appointment button right above the audio + transcript area on every call slot, and (for sales-team members) from My Calendar in the profile dropdown.

Pre-filled from the lead. Title becomes “Follow-up call · {Lead Name} · {Company}”, the start time defaults to the last call date + 7 days at 10am (snapping to the nearest free 30-minute slot, never landing in the past), and the notes field pre-fills with the previous outcome plus lead context. Just confirm the slot and click Schedule.
Saved appointments land in your My Calendar · agenda view grouped by day, KPI cards (Today, Next 7 days, Overdue, Smart Suggestions), and a heuristic-driven Smart Suggestionspanel that walks your pipeline and flags the next-best action for every lead. Privacy: your calendar is yours · admins do not see other reps' calendars.

Every section on the lead detail page has a one-click expand / collapse chevron · so you can fold away sections you're not currently working on and focus on the one you are.

Three ways to fill these in
✓ Available now · per-record edit
Open any lead → expand the “Original source data” section → type into the three fields → click ✓ Save changes at the bottom of the page.
Best for: filling tags on a small handful of leads, or correcting a mis-tagged record. Each save is instant · the lead list reflects the new tag immediately.
⚠ Planned · CSV import column mapping
When the next CSV upload includes Event / Campaign / Batch columns, the import tool will read them straight into the matching fields on every imported lead.
Status: schema columns are live · CSV importer column mapping not yet wired. If you've got a CSV with these columns ready to import, ask an admin to wire it up · it's a small change once we know the source column headers.
⚠ Planned · bulk update on a multi-select
Tick multiple leads in the list and apply a tag (Event / Campaign / Batch) to all selected at once.
Status: the tick-box + bulk-allocate bar already exists for assignment · adding source-data tags to it is a natural next step. Ask an admin to prioritise it if you're tagging hundreds of leads at a time.
Search the queue by tag
Once a tag is set, you can find every lead carrying it via the search box at the top of the My Leads list:

→ every lead from that event
"LinkedIn outreach"
→ every lead from that campaign
"Batch 3"
→ every lead from that import batch
Same search box, no separate filter UI. The existing search bar (top of the leads list, next to category dropdown) now matches against name + email + company + role + event + campaign + batch · case-insensitive contains-match. Combine with the Status filter pills above for tighter slicing.
Stay consistent with naming.If you call an event “Milton Keynes Expo” on one lead and “MK Show 2026” on another, the search will miss half. Pick one canonical name per event/campaign/batch and stick to it · or use the bulk-update flow (when it lands) to normalise older labels.
